How it works · Illustrative data

Why Tolus exists

Bring request tracking and retainer tracking together.

Tolus began inside a web agency that kept client requests in Jira and maintenance retainers in Google Sheets. Each tool did its own job, but a person still had to reconcile them.

The ticket system held the discussion. The spreadsheet held the number the client actually wanted. Copying time between them introduced stale links, rounding differences and an uncomfortable surprise near the end of the period.

Tolus brings client conversations and time tracking into the project. Time logged against the work feeds directly into the retainer report.

A month of maintenance

The cycle stays readable from first ticket to final balance

01

Open the retainer

Set the hours, covered period and work types agreed with the client.

02

Receive requests

The client opens tickets with the context and screenshots your team needs.

03

Log the work

Attach time to tickets or add planned maintenance as a standalone entry.

04

Review together

Both sides can read the work lines, used hours and remaining balance.

AI agents

Hand small tickets to an agent, keep the review

Connect Claude Code, Codex or another compatible agent. It works the tickets you assign to it, hands back a pull request for review, and its time is logged against the client’s retainer.

Where it fits

For agencies that track maintenance in hours

A volume of hours, a period, identifiable requests and a team that logs time. Tolus does not add another project method on top.

What you can track in Tolus

  • You sell website maintenance as a bank of hours.
  • Clients need to submit and follow their own requests.
  • You maintain a retainer summary separately from the tickets today.
  • You want clear shared categories, with custom statuses when your team needs them.

Choose a broader suite if

  • You plan product sprints, roadmaps and complex dependencies.
  • You need contractual SLAs, CSAT or omnichannel support.
  • Your main requirement is invoicing, CRM or accounting.
  • Every period must end with an automatically generated signed PDF.

Getting started

Start with your next retainer

Coming from Jira? The Jira migration brings over your projects, tickets, comments, people and attachments, without sending any email. Then open each project’s next hour bank: time logged in Jira is not included. If you have at least 20 projects to move, ask us to help scope the onboarding.
